How the Event Attendance Counter Works

The Event Attendance Counter tallies attendees for each event session and stores each session's total under its name and time. One device covers a full day of sessions.

  1. Create sessions: Add sessions such as Opening, Workshop A and Evening Show.
  2. Select the active session: Taps go to the session that is open.
  3. Count attendees: Tap once per person entering the session.
  4. Review attendance: See each session's total and the day's overall attendance.

Event Attendance Counter Formula

The Event Attendance Counter turnout rate equals attendees divided by registrations, multiplied by 100. Total attendance equals the sum of session counts.

Turnout (%) = Attendees ÷ Registered × 100 | Total = Σ Session counts

Example: A workshop has 80 registrations and 62 attendees. Turnout = 62 ÷ 80 × 100 = 77.5%. No-show rate = 22.5%.

About the Event Attendance Counter

An Event Attendance Counter is a headcount tool organized by event session. Each session gets its own total, which shows which parts of an event drew the biggest crowds.

Free events often see turnout rates of 40% to 50% of registrations, while paid events usually reach 80% or more. Counting real attendance shows the true no-show rate for planning catering and seating.

Ways to Use the Event Attendance Counter

The Event Attendance Counter has 5 key uses, including catering planning and sponsor reports.

  • Catering planning: Organizers use past turnout to order food for the next event.
  • Sponsor reports: Teams report real attendance per session to sponsors.
  • Room allocation: Planners move popular sessions into bigger rooms.
  • Community events: Volunteers count attendance at meetings and fairs.
  • Worship services: Churches and mosques count attendance per service.
