How the Conference Session Counter Works

The Conference Session Counter tracks attendance across every room and time slot of a conference and shows how full each session was. Each count is saved against a room, a time slot and the room's seat capacity.

  1. Load the schedule: Enter each session with its room, time slot and room capacity.
  2. Count at session start: Room monitors tap once per attendee 10 minutes after the start.
  3. Record a second count: Count again near the end to measure people leaving early.
  4. Compare sessions: See fill rate and retention for every session.

Conference Session Counter Formula

The Conference Session Counter fill rate equals attendees divided by room capacity, and retention equals the end count divided by the start count.

Fill rate (%) = Start count ÷ Capacity × 100 | Retention (%) = End count ÷ Start count × 100
Start count
Attendees counted after the session begins
End count
Attendees counted near the end

Seats in the room

Example: Room B seats 120. A session starts with 108 and ends with 90. Fill rate = 90%. Retention = 83.3%.

About the Conference Session Counter

A Conference Session Counter is an attendance tool that records headcounts per session, room and time slot. The data shows which topics and speakers drew the largest audiences.

Organizers use 2 headcounts per session: one at the start and one near the end. The pair separates interest, shown by fill rate, from engagement, shown by retention.

Ways to Use the Conference Session Counter

There are 5 main uses of the Conference Session Counter, including program planning and room sizing.

  • Program planning: Organizers pick next year's topics from attendance data.
  • Room sizing: Planners move overflowing sessions into larger rooms.
  • Speaker feedback: Speakers receive their audience size and retention.
  • Continuing education credit: Organizers confirm attendance for credit-bearing sessions.
  • Sponsor value: Sponsored sessions report audience numbers to sponsors.
